1 Acceptance of Terms
Welcome to Safar Sangh. By accessing or using our website at https://safarsangh.com, registering an account, submitting a booking, or completing an online payment, you agree to be bound by these Terms & Conditions and our Privacy Policy in full.
If you do not agree with any part of these terms, please do not use our platform. These terms apply to all visitors, registered users, paying customers, event collaborators, and anyone who books or enquires about a trip or event through Safar Sangh.
2 Our Services
Safar Sangh organises and facilitates curated group travel experiences and events across India. Our platform offers:
- Planned group trips with fixed itineraries, departure dates, and batch options
- Community events (treks, meetups, workshops) listed by approved collaborators
- Online booking, seat reservation, and payment processing
- Digital booking confirmations, tax invoices, and trip information
- Pre-trip communication and traveller support via WhatsApp and email
- On-trip guidance through assigned trip leaders
Safar Sangh acts as the principal organiser for all trips and events listed on our platform. Third-party hotels, transport operators, and activity providers are engaged on your behalf, but Safar Sangh remains your single point of contact for all service matters unless an event is clearly identified as hosted independently by a collaborator.
3 Bookings & Payments
A booking is confirmed only after we receive the required advance payment and issue you a written confirmation (email or WhatsApp). Seat availability is not guaranteed until payment is received and acknowledged.
Advance & Balance Payments
- An advance of 30–50% of the total trip cost is required to reserve your seat
- The remaining balance is due no later than 10 days before departure
- Late balance payment may result in forfeiture of your advance and cancellation of the booking at our discretion
- Prices displayed are per person (unless explicitly stated otherwise) and inclusive of applicable GST
Booking Cutoff
Each trip or event has a booking cutoff date. Bookings cannot be accepted after the cutoff regardless of seat availability. The cutoff is displayed on the event page.
Multiple Persons
When booking for multiple persons, the account holder accepts these terms on behalf of all travellers in the group. It is the account holder's responsibility to ensure all members of their group are aware of and agree to these terms, the itinerary, and the physical requirements of the trip.
4 Online Payments via Razorpay
For trips and events with online payment enabled, Safar Sangh uses Razorpay (Razorpay Software Private Limited) as our payment gateway. By making an online payment you additionally agree to Razorpay's Terms of Use.
- Payment is accepted via UPI, credit/debit cards, net banking, and wallets as offered by Razorpay at checkout
- All transactions are in Indian Rupees (INR)
- A tax invoice is generated and attached to your confirmed booking upon successful payment
- If a payment is initiated but not completed (e.g., browser closed mid-payment), the booking will remain in "pending" status for up to 30 minutes while Razorpay processes the transaction. If it does not resolve as paid, the booking is automatically marked abandoned
- In the event of a disputed charge, you agree to first contact us at support@safarsangh.com before initiating a chargeback with your bank
5 Coupons & Discount Codes
Safar Sangh may issue discount coupon codes for promotional purposes. The following conditions apply to all coupons:
- Coupons must be applied at the time of booking — they cannot be applied retrospectively to a completed booking
- Each coupon has a defined validity period and/or usage limit; expired or fully-redeemed coupons will not be accepted
- Coupons may be restricted to specific trips or events; a coupon not applicable to your chosen trip will be declined at checkout
- Only one coupon code may be applied per booking
- Coupons cannot be combined with other promotions unless explicitly stated
- Safar Sangh reserves the right to cancel any booking where a coupon was used fraudulently, including unauthorised sharing or use of single-use codes
- Discount amounts are applied to the total trip cost before payment; the adjusted amount appears on your invoice
6 Cancellation & Refund Policy
We understand plans change. Our cancellation policy is as follows for all Safar Sangh-organised trips:

Cancellation by Safar Sangh
If Safar Sangh cancels a trip due to insufficient bookings, natural disasters, government advisories, force majeure events, or any reason within or beyond our control, you will receive either:
- A full refund to your original payment method within 10 working days, or
- A trip credit note valid for 12 months from the cancellation date, at your choice
Online Payment Refunds
Refunds for Razorpay-collected payments will be processed back to the original payment instrument (card, UPI, wallet) within 7–10 working days from the date of approval. Bank processing times vary and are outside our control. Offline payment refunds are processed via bank transfer within 7 working days.
Collaborator-Hosted Events
Cancellation and refund terms for events hosted by independent collaborators may differ from the above and will be stated on the event's booking page. In all cases, the refund policy displayed at the time of booking is the binding policy.
7 Collaborator-Listed Events
Some events on the Safar Sangh platform are created and managed by approved independent collaborators — travel organisers, clubs, communities, or individuals who have been granted collaborator access.
- Collaborator events are clearly labelled with the organiser's name and branding on the event page
- Safar Sangh conducts an approval process before any collaborator event is published, but does not guarantee the accuracy of all event details provided by the collaborator
- For collaborator-hosted events, the collaborator is the primary organiser responsible for the itinerary, logistics, and traveller experience
- Safar Sangh acts as the platform provider and payment processor for such events
- Complaints about collaborator events should be submitted through our Issue Reporting system (see Section 12); we will investigate and mediate
- Safar Sangh reserves the right to remove any collaborator event that violates our policies, without notice
8 Traveller Conduct
All travellers are expected to respect fellow participants, trip leaders, local communities, and the natural environment. Safar Sangh reserves the right to remove any traveller from a trip — without refund — who:
- Engages in disruptive, abusive, threatening, or violent behaviour towards any person
- Violates local laws or regulations at any destination
- Damages property belonging to accommodation providers, transport operators, or local communities
- Refuses reasonable safety instructions from the trip leader or guide
- Misrepresents their fitness level or medical condition in a way that endangers themselves or the group
- Consumes excessive alcohol or any controlled substance in a manner that disrupts the group experience
A traveller removed for conduct reasons is responsible for all additional costs incurred due to their early departure, including independent transport and accommodation arrangements.
9 User Accounts & Responsibilities
You are responsible for maintaining the confidentiality of your account credentials. You agree to:
- Provide accurate, complete, and up-to-date information during registration and booking
- Notify us immediately at support@safarsangh.com if you suspect unauthorised access to your account
- Not share your account with other persons or use another person's account
- Not attempt to access administrative functions, other users' data, or any part of the platform you are not authorised to use
- Not use the platform to submit false bookings, fraudulent payment requests, or misleading issue reports
Safar Sangh reserves the right to suspend or permanently delete any account found to be in violation of these terms, without prior notice and without refund of any amounts paid.
10 Limitation of Liability
Travel involves inherent risks. By booking with Safar Sangh, you acknowledge and accept that:
- Safar Sangh is not liable for injury, illness, death, loss, or property damage arising from participation in any trip or event activity
- We are not responsible for losses caused by flight or train delays, cancellations, or failures by third-party carriers
- We are not liable for acts of God, natural disasters, civil unrest, government advisories, epidemics, pandemics, or any other force majeure event
- We are not liable for disruptions caused by infrastructure failures (internet outages, power cuts) that affect access to our platform
- Our maximum aggregate liability in any circumstance is limited to the amount you paid to Safar Sangh for the specific trip or event in question
11 Intellectual Property
All content on the Safar Sangh platform — including trip descriptions, itineraries, photographs, videos, logos, graphics, and user interface designs — is the exclusive property of Safar Sangh or its licensed contributors, and is protected under applicable Indian copyright and intellectual property laws.
- You may not reproduce, redistribute, modify, or commercially exploit any content without prior written permission
- Sharing a direct link to a trip or event page for personal, non-commercial purposes is permitted
- Screenshots or social media shares of trip pages are welcome, provided they are not edited to misrepresent the trip or its pricing
Collaborators who upload content (images, descriptions, PDFs) to the platform represent that they own or have the rights to use that content and grant Safar Sangh a licence to display it on the platform.
12 Issue Reporting
If you experience a problem with a trip, event, payment, or another user, please use our built-in Issue Report feature available on event pages, or email us at support@safarsangh.com.
- Reports are reviewed by our admin team within 3 working days
- You may attach a photograph or document as proof when submitting a report
- Submitting a false, malicious, or misleading issue report is a breach of these terms and may result in account suspension
- We will notify you by email with the outcome of any investigation
- For disputes involving collaborator events, Safar Sangh acts as a neutral mediator
13 Changes to These Terms
Safar Sangh reserves the right to update these Terms & Conditions at any time. The "Last updated" date at the top of this page will always reflect the current version.
For material changes (e.g., changes to the cancellation or refund policy), we will notify registered users by email at least 7 days before the change takes effect. Continued use of the platform after that date constitutes acceptance of the revised terms.
14 Governing Law & Dispute Resolution
These Terms & Conditions shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with these terms or your use of the Safar Sangh platform shall be subject to the exclusive jurisdiction of the courts in Pune, Maharashtra, India.
We strongly encourage you to contact us first to resolve any issue amicably before initiating legal proceedings. Most issues can be resolved faster and at no cost through direct communication.
